Use a real workflow to test usability, data handling and human review before committing your team to a subscription.

Begin with the task, not the demonstration

Software demonstrations usually follow a tidy script. Real work arrives as incomplete notes, unexpected exceptions and files created by several people. Pick a task that your team repeats, such as turning an enquiry into an assigned follow-up. List the steps, including the awkward ones. Then ask each shortlisted tool to handle that same example. This makes comparisons more meaningful than a checklist of advertised features.

Check the information you will put inside

Identify whether the tool needs public material, internal records or customer information. Ask which settings control sharing, retention and any use of inputs for model training. Confirm those terms for the exact plan you intend to buy. Do not assume a consumer account and a business subscription have identical conditions. For an early AI trial, use invented or properly anonymised examples rather than uploading confidential files for convenience.

Keep review responsibilities visible

An AI-written summary may sound complete while missing a condition that matters. Decide who checks factual statements, figures and customer-facing messages. NIST describes its AI Risk Management Framework as a voluntary resource for managing AI risks. Use that perspective to ask what could go wrong in your chosen task and how a person would notice. It does not establish that a particular AI tool is safe for every business.

Test the ordinary administration

Can the account owner add or remove staff without contacting a salesperson? Can a colleague take over a process when its creator is absent? Try permissions, search, notifications and common exports. Check whether important records are readable outside the service. A clean dashboard is helpful, but it does not replace a workable handover procedure.

Calculate a realistic monthly commitment

Record which features are included, which require a higher tier and whether usage is limited. Check billing frequency, cancellation rules and the effect of adding users. Include time spent on setup and review. A tool that saves drafting time may still require careful checking, so measure the whole task rather than only the first generated result.

Agree the trial decision in advance

Set a short evaluation period and define the evidence you need: completed tasks, correction rates, staff feedback and export quality. Keep examples of failures as well as successes. Continue only when the result improves the workflow and the team can operate it reliably. This is a research-led evaluation guide; no named subscription has been tested or ranked, and no productivity gain is assumed.
